Temporary evacuation arrangements can concern residents, staff and visitors. Information should come from the client through an agreed communication plan, with personnel reinforcing only what they have been authorised to explain. Questions about building safety, compliance or the reason for the strategy should be referred to management.

Where the client has arrangements for people who may need assistance, personnel should receive only the relevant information needed for their role. Privacy, dignity and safeguarding considerations remain important, particularly in residential, hotel, student accommodation and supported-living environments.

Exercises, records and changes to the plan

Where the client arranges a briefing or exercise, observations can identify practical issues with routes, communications or role allocation. Any change must be approved through the appropriate management route and reflected in the written instructions. Personnel should not create unofficial alternatives during a shift.

Attendance, incidents, communications and handovers should be recorded at the level agreed with the client. These records support operational accountability but do not replace technical assessment. The arrangement should be reviewed whenever occupancy, building conditions or professional advice changes.

Planned requirements should be briefed early enough to confirm suitable personnel and familiarisation. Urgent cover can also be considered, but mobilisation remains subject to location, the defined duties, availability and confirmation that the rota can be maintained beyond the first shift.
